Position Summary
The Office Admin is responsible for overseeing the daily operations of the Taiwan office, ensuring administrative efficiency, regulatory compliance, and a positive work environment. This role requires strong organizational skills, attention to detail, and the ability to coordinate across departments and with external stakeholders. The ideal candidate will be proactive, resourceful, and familiar with local regulations and business practices.
Principal Responsibilities
Office Administration & Operations
- Oversee daily administrative operations including scheduling, correspondence, and office supply management.
- Ensure the smooth operation and maintenance of office facilities and equipment.
- Manage company vehicles and logistical needs as required.
Regulatory and Policy Compliance
Support the development and enforcement of internal policies in line with local labor laws and regulatory requirements.Liaise with legal or compliance teams to ensure the office meets all regulatory obligations.Government & External Relations
Act as the main point of contact for local government agencies (e.g., fire department, labor office).Liaise with legal or compliance teams to ensure the office meets all regulatory obligations.Environmental & Safety Management
Ensure adherence to safety protocols and cleanliness standards within the workplace.Coordinate regular inspections and collaborate with vendors for maintenance and safety compliance.Administrative Support to Leadership
Provide executive-level support to the General Manager, including scheduling meetings, expense claim, and organizing travel when needed.Employee Welfare & Culture
Coordinate with the employee welfare committee to implement wellness and engagement initiatives.Organize office events, team-building activities, and staff recognition programs to foster a positive workplace culture.Event Management
Plan and execute company meetings, workshops, and other internal or external events.Manage budgets, vendors, and logistics for successful event delivery.IT Coordination
Serve as the local point of contact for IT issues, coordinating with regional or HQ IT teams for troubleshooting and support.Education / Experience Requirements
Bachelor’s degree in business administration, Management, or related field3+ years of experience in office or operations management, preferably in an international company.Strong understanding of Taiwanese safety regulations, and administrative practices.Proficient in Microsoft Office and general office software tools.High level of organizational, problem-solving, and multitasking ability.Specialized Skills / Other Requirements
